Position:         Personnel Office Assistant (FMLA/Worker’s Comp Secretary) - 238 Day Contract

 

Supervisor:    Director of Personnel

 

General Job Description:  To assist administration, staff, and visitors in any way necessary to ensure a smooth, efficient Personnel Department.

  

Essential Duties and Responsibilities - Essential duties may include, but are not limited to the following:

  • Document and track all assistance for employees filing Worker’s Comp claims
  • Maintain OSHA info for the year end OSHA report;
  • Send out District wide emails pertaining to Worker's Comp forms, posters, etc.
  • Receive and process claims from GMCS employees and work sites
  • Process W/C claims on the CCMSI website, obtain w/c claim numbers - contact treatment facilities and give number in accordance with state and federal laws.
  • Maintain Lincoln Financial claims for employees
  • FMLA: Ascertain if employee meets criteria; time employed, self, family, child, etc. and assist with all paperwork pertaining to FMLA in accordance with the DOL and state regulations and statutes.
  • Maintain records for Sick Leave Bank
  • Assist with Educational Assistant and Health Assistant Licensure.
  • Assist Liaisons with obtaining required credentials.
  • Demonstrate ethical behavior.

  • Maintain behavior appropriate to performing and accomplishing assigned duties.
  • Know what to do to successfully complete assigned work.
  • Contribute to the welfare and effectiveness of the Central Office by adhering to high ethical standards of performance and interpersonal relationships.
  • Work cooperatively with colleagues, supervisors, and administrators.
  • Assist other secretaries and administrators in the office as needed.
  • Complete Safeschools trainings as mandated by the district.
  • Other duties as needed or assigned.

 Qualifications:

  • High school diploma or GED equivalency.
  • Experience as a secretary or equivalent work.
  • Demonstrated knowledge of basic office procedure.
  • Demonstrated knowledge and skills of computer function and operation, typing, accounting, and other related secretarial skills.
  • Demonstrated effective and stable interpersonal relationship with public and staff.
  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Physical Requirements: Ability to perform the job and access the environment for which you are hired.  The following may be required: Sitting, standing, lifting, moving about the room or school, carrying (up to 50 pounds), reaching, squatting, kneeling, prolonged typing, physical ability to type on a keyboard terminal, and moving light furniture.

 

Equipment/Technology Handled: Must know how to properly operate or be willing to learn to operate all multimedia equipment including current technology. 

 

Work Environment: Must be able to work within various degrees of noise, temperature, and air quality.  Interruptions of work are routine.  Flexibility and patience are required.  Must be self-motivated and able to complete job assignment without direct supervision.  After hour work may be required.

 

Terms of Employment: Salary and work calendar established yearly by the district.

 

All GMCS schools are eligible for the Public Service Loan Forgiveness Program (PSLF).
